Job vacancies - Senior Secretarial Administrative Assistant

The Permanent Delegation of the Netherlands to UNESCO (PD UNESCO) promotes the interests of the Kingdom of the Netherlands in the daily practice and organisation of UNESCO. The PD represents Dutch policy on the area’s of expertise of UNESCO. The PD also identifies the developments within UNESCO that are relevant to the Netherlands, both to the four governments within the Kingdom (the Netherlands, Aruba, Curaçao and Sint Maarten) and to other stakeholders from civil society. For instance, the PD advises on the policy to be pursued within UNESCO on the basis of developments and experiences in Paris. Various Dutch ministries are involved in UNESCO's work via the PD and the National Commission. These are in particular the Ministry of Education, Culture and Science, the Ministry of Foreign Affairs, the Ministry of Health, Welfare and Sport, the Ministry of Infrastructure and Water Management and the Ministry of Economic Affairs and Climate Change. The PD works closely with the various ministries in The Hague (especially the Ministry of Education, Culture and Science and the Ministry of Foreign Affairs), the National UNESCO Commission in The Hague and the UNESCO Secretariat in Paris.

The PD's team consists of the Permanent Delegate, the Deputy Permanent Delegate, two attachés (of which one is temporary) and one administrative assistant, who jointly cover UNESCO's entire field of activity. The PD has a flat organisational structure. Team members are therefore largely individually responsible for carrying out their assigned tasks and result areas. The working contacts are mainly with the other UNESCO Delegations, the UNESCO Secretariat and the ministries in The Hague.

Tasks

The Senior Secretarial Administrative Assistant performs organisational, secretarial and administrative tasks to support the management and/or staff of the PD UNESCO. You are the core of the team and have an overview of the agendas of the team members and support them in their daily activities.

The tasks are as follows:

  • All secretarial work for the PD (keep track on the agenda, answering the phone, Dutch, English and French correspondence, archiving, management of post boxes, etc.).
  • Drafting and sending correspondence to UNESCO or ministries (Dutch/French/English).
  • Drawing up a programme / plan for the many (inter)national delegations that visit UNESCO.
  • Taking care of appointments / guiding (inter)national delegation members to UNESCO.
  • Taking care of registrations for UNESCO meetings.
  • Preparing meetings (collecting and selecting documents and information).
  • Managing emails, sending emails to the Netherlands and within the PD.
  • Organising and taking care of receptions and visits of the PD UNESCO.
  • Adequate administrative support preparation missions and VAR activities.
  • Supporting the annual UNESCO Executive Board meeting and biennial General Assembly.
  • Participation in the weekly STAF of the PD UNESCO.
  • Deployable as administrative support to PD OECD (during OECD Ministerial Conferences) and in the embassy's management support (MO) pool during major events.

Profile:

The employee can work independently but is a team player as well. The employee is flexible and has no problem replacing colleagues of the PD OECD on a regular and ad hoc basis. The employee is friendly and customer-oriented. He/she can plan and organize well. The employee speaks and writes Dutch, French and English.
